Privacy statementDraft

Your information, looked after.

This is a draft and isn't in effect yet. It's written with the New Zealand Privacy Act 2020 in mind but still needs review. Anything marked TBC is waiting on a decision from the organisers.

Who we are

East Coast Cannoli is run by five partners: Elevated Aotearoa, East Coast Cannabis Company, Aotearoa Dispensary, Off Grid Society Aotearoa and Temuri Films.

The organisation responsible for your information, and our privacy officer, are still to be confirmed. TBC

What we collect

Only what you choose to send us, plus a few technical details that keep the forms working and free of spam.

  • Expression of interest form: your name, email, phone number (optional), where you're based, why you'd like to join, how you heard about us, the email address of someone you'd like to bring (optional), your confirmation of your age, and your consent to us keeping your details.
  • Collaboration form: your name, email, organisation (optional), how you'd like to contribute, your message, and your consent to us keeping your details.
  • When you send a form: the time, the link or campaign that brought you to the site (for example a partner's Instagram link) and the first page you landed on, your browser type, and a scrambled one-way code made from your IP address. That code is used only to limit repeated submissions. Codes older than an hour are deleted automatically whenever a form is sent, and any left are cleared when expressions of interest close. A Cloudflare Turnstile check helps confirm you're a person.
  • Site visits: we use privacy-friendly analytics that count visits without cookies and without identifying you. TBC
  • Saved in your browser: whether you've switched motion on or off, and whether you've seen the adults-only notice. These never leave your device. For the current tab only, we also note the link or campaign that brought you here and the first page you landed on. That's sent to us only if you submit a form, and it's cleared when you close the tab.

The final list of form fields will be checked against this statement before launch. TBC

If you give us the email of someone you'd like to bring, please check they're happy for you to share it first. We'll only contact them if you're shortlisted. TBC Please don't send us anything you wouldn't want the organisers to read.

Why we collect it

  • To consider your expression of interest or collaboration idea, and to contact you about East Coast Cannoli.
  • To plan the journey, including any dietary, access or medical needs you choose to tell us about.
  • To understand which partners and links bring people to the site.
  • To keep the forms secure and free of spam.

We won't sell your information or use it for anything unrelated to East Coast Cannoli.

Where it's stored

Form submissions are stored in a Cloudflare D1 database. Cloudflare runs a global network, so your information may be stored or processed outside New Zealand. The storage region is still to be confirmed. TBC

When a form is sent, an email notification goes to the organisers and a confirmation goes to you (at most once a day per email address), using an email delivery service (Resend). TBC

Who can see it

Only the partner organisers named above, and only for the reasons above. We won't share your information with anyone else unless you agree, or the law requires it.

How long we keep it

  • Expressions of interest that aren't successful: deleted within 6 months after the event. Draft
  • Participants: retention period to be confirmed. TBC
  • Collaboration enquiries: retention period to be confirmed. TBC

How we protect it

Everything is sent over an encrypted (HTTPS) connection, access is limited to the organisers, and every form is protected against spam and automated abuse.

Photos and film

Film and photography are part of the journey. How consent works for participants will be confirmed before anyone commits. TBC See the FAQ.

Your rights

You can ask to see the personal information we hold about you, and ask us to correct it. You can also ask us to delete it.

Contact for privacy requests: to be confirmed. TBC

If you're not happy with how we've handled your information, you can complain to the Office of the Privacy Commissioner at privacy.org.nz.
